01Who sees what
The turnover stays with the people who should see it.
Reports have their own permission, and the six money reports need a second one: View company financial totals. So an office manager can check renewals and certificates without seeing what the business makes. Owners see everything; switch reports on for any other role.

02VAT and the tax year
Built for the UK year, honest about the VAT.
The tax year runs 6 April to 5 April, so that's what This tax year means. The VAT summary shows your output VAT by rate, two ways, for you or your accountant to check. It is a summary: it doesn't file a return or talk to HMRC.

What it is, and what it isn't
- Output VAT by rate: 20%, 5%, 0% and the reverse charge, on the invoice basis and the cash basis
- Any period, including a VAT quarter or your own dates, and a CSV of it
- Not a VAT return. Nothing is sent to HMRC
- Not Making Tax Digital software. Your accountant, or your MTD software, files the return
- No input VAT: it covers the VAT you charge, not what you pay suppliers
03What the numbers mean
One word, one meaning.
Each figure means the same thing in the report, on your dashboard and in the CSV, so the numbers you send your accountant are the ones you were looking at.
Export CSV gives you the same figures as a spreadsheet. A report cut short says so on its last line.
Reports need a connection. They're worked out from everything on your account.
- Paid in
- Money received against invoices in the period. Refunds are already taken off, so nothing is counted twice.
- Written off
- Debt let go with a credit note. No money moved, so it's never counted as paid in.
- Owed to you
- What's left on every invoice, the same figure as your dashboard. Invoices not sent yet count as not yet due.
- Overdue
- Past the invoice's own due date. On a payment plan, only when a stage or instalment is late.
- Invoice and cash basis
- VAT on invoices raised and sent in the period, or on payments received in it.
- Win rate
- Quotes won divided by quotes sent. Drafts don't count. Values are quote totals including VAT.
- Hours booked
- Time booked in the diary for each visit, not hours clocked. Each day of a multi-day job counts.
- Booked
- A renewal marked booked on Renewals, or one with an appointment booked for it.

What reports does OnPoint have?
Nine. For money: Sales (invoiced and paid in, month by month), Payments received (by month and by method), Aged debt (who owes you, and how late), Top customers, a VAT summary (output VAT by rate) and Quotes (sent, won, lost and still open). For the work: Jobs by engineer (visits and hours booked). For compliance: Certificates issued (by type and engineer) and Renewals (due in the next 90 days, booked or not).
Which periods can I choose?
This month, last month, this quarter, this tax year, last tax year, the last 12 months, or your own dates. The tax year runs 6 April to 5 April. Aged debt is always as it stands today, and Renewals always looks 90 days ahead.
Can I export a report to Excel?
Yes. Export CSV downloads any report as a CSV file, which opens in Excel, Google Sheets or Numbers, with money as plain numbers so it adds up. There's no PDF export. Exporting needs the Export and bulk-download records permission.
Does the VAT summary file my VAT return?
No. It's a summary of your output VAT by rate, on the invoice basis and the cash basis, to help with your return. It isn't Making Tax Digital software and nothing is sent to HMRC. Check the figures with your accountant before you submit.
Who can see the reports?
Anyone whose role has View reports. The six money reports also need View company financial totals, Certificates issued needs View certificates and forms, and Renewals needs View renewals and expiry dates. Owners always have them, managers and administrators do on a new account, and you can switch them on for any other role.
Does Jobs by engineer show the hours they worked?
It shows the visits and hours booked in the diary for each engineer. Each day of a multi-day job counts, and a job with two engineers counts for each of them. Hours clocked are on timesheets, which are separate.
Does Aged debt match my dashboard?
Yes. Owed to you is the same figure as your dashboard, including invoices that haven't been sent, which count as not yet due. It's aged by each invoice's due date, and an invoice on a payment plan only counts as late when a payment on it is late.
Do reports work offline?
No. Reports are worked out from everything on your account, so they need a connection. Jobs, photos, forms, certificates and clocking in work with no signal.
