Take a deposit on the quote, then schedule the rest by stage. Mark a stage done and the customer is asked for it, pays from their invoice link, and it marks itself paid. The bookings, site photos, subbies, CIS figures and snag lists live in the same app.

One extension, from the deposit to the last payment.
Sarah Ellis wants a kitchen extension on the back of her semi in Leicester: £46,800.00, eleven weeks on site. Here's that job in OnPoint, with the money beside the build.

Quote it stage by stage, with a deposit to start
Price the extension from your own saved items and send it by email or text. You'll see when Sarah opens it. She asks about the doors right there on the quote, accepts it and pays the 10% deposit by card or Pay by Bank. The quote turns into an invoice with the deposit already on it, and you get a notification.

Schedule the rest by stage, so it follows the build

Book the gang in for the whole of groundworks
Book all three weeks once, with Dan and Kev on it. Saturdays and Sundays are left out unless you tick Work through the weekend, and each working day goes in the diary. Add Josh and you're told before you save that he's already booked. Sarah gets one text with the dates and who's coming. On the 23rd you mark Groundworks done, and she pays it from her invoice link.
Work through the weekendBooks 15 working days. The 4 weekend days are left out.

Text to SarahHello Sarah, you have an appointment with Harland Build from Monday 5 October to Friday 23 October, 08:00 to 16:30 each day, the people attending are Dan Harland and Kev Moss. View more details: link
Walls to wall plate, the steel, joists, warm roof and lantern. Marked done on 20 November, paid on the 24th.
Weeks 4 to 7/Walls and roof
Show Sarah what gets covered up
Photograph the wall ties, the cavity insulation and the steel before they disappear behind plaster. Each photo keeps the time it was taken, and Mark up puts an arrow or a circle on what matters. Talk through the day and OnPoint writes it up as a visit report, with the materials picked out. Share it and Sarah gets a link to the photos, with no app or login.
Both side walls up to wall plate, with 100mm cavity boards and stainless wall ties. Steel over the bifold opening sits on padstones. Joists in at 400 centres and trimmed round the lantern. Deck, insulation and EPDM on, so it's watertight.
Harland Build has shared a report with you. You can view it online any time.

Weeks 8 to 10/Doors and plaster
Send the plastering out, and keep the costs on the job
Send the skim to Trent Plastering from the project, as an offer. They accept it from a link, with no account needed, and its cost lands on the project. When you pay them, OnPoint takes CIS off the labour only and shows what to pay. At the month end their payment is on your CIS return figures, with a payment and deduction statement to send them. You file the return with HMRC. Add the doors and the skips as costs, and the project shows what's been quoted, invoiced, collected and spent, and your margin.

Week 11/Snagging and handover
Snag it, sign it, take the last payment
Walk round with Sarah on your own handover sheet, built from a photo of the paper one you've always used, and tap Add row for each snag you find. She signs it on your phone, or you send it for her to sign from a link. Mark the job complete and she gets the report and the invoice in one email, then mark Completion done and she's asked for the last stage. It comes in on the 23rd and the plan is done.

Start now and your first seat stays at £19 a month for as long as you're with us. Each extra person is £9.
“Engineers used to come back at 5pm with stacks of paper job sheets. Now everything's signed on the phone before they leave the customer. Invoices go out the same day. The cash flow shift was instant.”
“We were running the business off WhatsApp threads and a notebook. OnPoint pulled everything into one place. The customer portal alone has cut my admin in half. I'm not retyping addresses or chasing photos anymore.”

Pick the deposit, split the rest across the build and hold back retention if you've agreed it. The amounts are worked out by OnPoint's own payment plan code, so this is what your customer would see.

How they pay
Each stage is a percentage or an amount, due on a date or when you mark it done, and the last one takes any odd pennies. In the app you can have up to 20 stages and hold back up to 20% retention. Payment links and auto-charge need Stripe connected.

OnPoint is job management software for UK builders and building contractors. It covers quotes with deposits, stage payments your customers pay from a link, bookings over several weeks with your team on them, site photos and visit reports, subcontractors with CIS worked out and your monthly CIS return figures, your own forms and snag lists, and invoices, in one app for iPhone, Android and the web.
Can I take a deposit, then get paid in stages?
Yes. Set a deposit on the quote, as a percentage or an amount. When the customer pays it online by card or Pay by Bank, the quote is accepted and turned into an invoice with the deposit on it. Then create a payment plan on the invoice and choose Stages: name each one, like first fix or completion, give it a percentage or an amount, and make it due on a date or when it's done. Mark a stage done and the customer is emailed for it with a Pay now link, it falls due after your payment terms, and they're reminded before it's due. They pay from their invoice link, from a saved card, or by bank transfer and you mark it paid. You can hold back retention too, up to 20%, requested once the defects period after practical completion ends, and you're told two weeks before. Or split the balance into equal weekly or monthly instalments instead.
Can I book a job that runs over several days?
Yes. Book the days once, with up to three of your team on it, and each working day goes in the diary. Saturdays and Sundays are left out unless you tick Work through the weekend. The customer gets one text with the dates, the times and who's coming. If someone is already booked at that time, or on approved leave, you're told before you save. Switch on day-before reminders and the customer gets one before the first day. Keep the visits, quotes, invoices and costs for the whole build together on one project.
Does it handle CIS and reverse charge VAT?
Yes. When you pay a subcontractor, split their price into labour and materials, pick their CIS rate, and OnPoint shows the CIS to withhold and the net to pay them. Each tax month, the CIS returns page lists what you paid each subcontractor under CIS, ready to enter on HMRC's return, exports it as a CSV and makes each subcontractor's payment and deduction statement, to download or email. When you work for a main contractor, switch on CIS deductions and VAT reverse charge in your settings and mark them as a VAT-registered contractor: your invoices take CIS off the labour only, charge no VAT under the reverse charge and print the notices. OnPoint doesn't verify subcontractors with HMRC or file the return for you. You file it in HMRC's CIS online service.
Can I see what a job has cost me?
Yes. Keep the build on a project and add what you spend as you go, by type: materials, labour, subcontractor, travel and other. Work you send to a subcontractor from the project is costed on it once they accept, and so are supplier bills you record against it. The project shows what's been quoted, invoiced, collected and spent, and your margin on what you've invoiced, ex VAT. Your own team's time is left out unless you add it.
Does OnPoint do drawings, estimates or take-offs?
No. OnPoint doesn't draw plans, measure from drawings or price the work for you, and it doesn't deal with building control. You price from your own saved items and rates. OnPoint runs the job and the money from there.
Can I use my own snag list and handover sheet?
Yes. Take a photo of the paper sheet you use now and OnPoint turns it into a form on your phone, with tables, yes or no checks, photos and the customer's signature. Add a row on site for any snag the sheet doesn't list. The customer signs it on your phone before you leave, or you send it to them to sign from a link by email or text.
Does it work with no signal?
Yes, for the work on site. Jobs, photos, notes, your own forms and clock-ins save on your phone and send when you're back in signal. Quotes and invoices need a connection.
Does it work with Xero?
Yes. OnPoint sends your contacts, invoices and payments to Xero, stage payments included, and payments you record in Xero come back to OnPoint.
How much does it cost?
£19 a month for one person, plus £9 a month for each extra person. Or pay yearly: £190 a year for you and £90 for each extra person, which is 2 months free. Every feature is on that one plan. You get 14 days free with no card needed, and you can cancel any time.
I use Tradify, Fergus, ServiceM8 or Powered Now. How does OnPoint compare?
We've put OnPoint side by side with each of them, feature by feature.
No deposit. 14 days free, then £19 a month for you and £9 a month for each person you add. One plan with everything in it, whether it's just you or three gangs.
