One leak at Flat 3, from the phone call to the paid invoice.
Pellow & Rowe Lettings look after Harbour Court for its landlords, and you look after the repairs. Here's one Monday morning's leak in OnPoint, step by step.
Monday 12 October, 08:40
Put the job on the flat
Priya tells Pellow & Rowe Lettings that water is coming through the kitchen ceiling of the flat below hers, and they ring you. Start a job with the agent as the customer and Flat 3 as the site. Put in what you'll charge them and what you'll pay someone to do it, and your margin shows as you type. The client price stays with you. Tenants can report a repair from their own link too, with photos, and it reaches you as a request to book.

The report comes back to you
Dan taps I'm on site when he gets to the flat, and the job moves to In progress. When he's done, he writes what he found, lists the parts and adds his photos, then marks it complete. You read it on the job and confirm it, or ask for more. If there's ever a disagreement, open a dispute: what was agreed, done, photographed, paid and said is sealed into one record, and you each download the same copy.

Replaced split bath waste and trap, resealed the bath
Waste had cracked at the overflow. Replaced waste and trap, tested with a full bath, no leaks. Flat 1's ceiling is damp but sound, needs a stain block once dry.

- 40mm bath waste × 1
- 40mm bath trap × 1
- Sanitary silicone × 1

Pay Dan, with CIS taken off
Put in the split once: labour, materials and any VAT he charged. OnPoint takes CIS off the labour only, at the rate HMRC gave you, and Dan sees the same figures in his link. Your margin is on the job too, and it tells you what it leaves out. At the month end, Dan's payment is on your CIS return figures, with his payment and deduction statement to send. Filing the return is still yours to do.

Try the rate. What Dan receives changes. Your margin doesn't, because the CIS still leaves you, for HMRC.

Invoice the agent
Tap Invoice customer on the job and the invoice starts with Pellow & Rowe Lettings as the customer and Flat 3 as the site address, so they know which landlord it's for. They pay by card or bank from the link, and it marks itself paid. If they don't, switch on reminders and OnPoint chases the day after it's due, then every 7 days.

The flat's gas safety record comes round
Sam, your Gas Safe engineer, did Flat 3's gas safety check last December, and the record set the next one for 2 December. It sits in Renewals with every other property, and 30 days before, Pellow & Rowe Lettings get a reminder with the flat's address on it, and a text too if you switch renewal texts on. Gas certificates open with your Gas Safe number. Not registered? Send the check to a partner who is, the same way as the leak.

Live, across every trade
You talk to the people who build it.
Ring or email and you get the team that makes OnPoint, not a call centre.
It gets better every week.
OnPoint is updated every week. Tell us which sheet you still fill in on paper, a void inspection checklist say, and it goes on the list.
Founding price, locked for life.
Start now and your first seat stays at £19 a month for as long as you're with us. Each extra person is £9.
“The auto-renewal reminders for gas safety records pay for the subscription on their own. No more landlords slipping through. We added properties this year because we could actually handle the compliance.”
“Engineers used to come back at 5pm with stacks of paper job sheets. Now everything's signed on the phone before they leave the customer. Invoices go out the same day. The cash flow shift was instant.”
One job, three links, and nobody sees the wrong thing.
The agent, the tenant and your subcontractor each get their own link from OnPoint, with no account to make. Each one shows that person what they need and nothing else.

Planned work comes round by itself.
Each certificate you issue sets its next date, and so can your own forms, once you mark a date on one as coming round. Renewals lists what's due at every property, and 30 days before, the customer gets a reminder by email. If you take online bookings, they pick a time from it.
Anything else on a cycle, like clearing gutters every six months, goes on a service plan. OnPoint books each visit into the diary ahead of time, with the time and the engineer, or lists it under Due to book so you can agree a day first. A plan books the visits. It doesn't bill them.

For everyone: your own forms
Take a photo of a paper sheet you use now, a void inspection, a fire door check or a damp and mould report say, and Generate template from photo turns it into a form you fill in on your phone, with photos and the customer's signature. Or start from a ready-made one, like a fire risk assessment or a risk assessment and method statement. Mark its next date as coming round and it lands on Renewals like a certificate, and the customer can sign it on your phone or from a link you send.
Questions maintenance teams ask us.
Looking after rented homes? See how OnPoint works for landlords, property managers and housing associations.
Can one landlord, agent or facilities client have lots of properties?
Yes. A customer can have as many sites as you like, each with its own address, site contact, notes, visits, certificates and invoices. That works the same for a letting agent with forty flats or a facilities client with a dozen shops. Their customer portal lists every property, with its certificates and renewal dates, and when they report a repair or book online, they pick which property it's for.
What can tenants see, and can they report repairs?
When you send a visit or a certificate to a site contact, their link opens a portal for that one property: its visits, a subcontractor's included, live tracking when you're on the way, the visit report when you share it, and its certificates to view or download. They never see quotes, invoices, other properties or the landlord's account. Yes, they can report a repair from it: what's wrong, how urgent it is, up to six photos and the best times for a visit. It reaches you as a request, not a job, until you book it, and you can decline it with a reason they see. Reporting is on for customers and tenants unless you change it, and you can copy the landlord in. Tenants can't book a visit themselves.
Can I send jobs to subcontractors who don't use OnPoint?
Yes. Pick from your subcontractors or type any email address. They get a link to the job, with no account or app needed, and can accept it or turn it down. Offer it to a few at once and the first to accept gets it. They tap I'm on site when they arrive, then send a report with photos and parts used for you to confirm. They see their price and your payment terms, never what you charge the customer.
Does it handle CIS on subcontractor payments?
It works out the deduction on each payout: taken from labour only, with materials and VAT left out, at the rate you've saved for that subcontractor, whether that's 20%, 30% or gross payment. They see the same figures in their link. Each tax month, the CIS returns page lists what you paid each subcontractor, ready to enter on HMRC's return, exports it as a CSV and makes their payment and deduction statements. It doesn't verify subcontractors with HMRC or file the return. Those are still yours to do.
Can I see what I make on each job?
Yes. On an outsourced job, your margin is the client price less the subcontractor's full cost, with the CIS counted as a cost and their VAT left out, and it tells you it doesn't include your own team's time or materials you supplied. On a project, jobs you send out from it and supplier bills you record against it are costed for you. Log materials, travel and labour too, and the margin is worked out against what you've invoiced, ex VAT.
Does it do planned preventative maintenance?
Yes. Put the work on a service plan: the customer, the property, what it is and how often, from every week to every year. OnPoint books each visit into the diary ahead of time with the time and the engineer, or lists it under Due to book so you can agree a day first, and the customer gets the usual booking confirmation by email. Certificates and your own forms bring themselves round too: each sets its next date, Renewals lists what's due at every property, and 30 days before, the customer gets a reminder. A plan books visits. It doesn't bill them or take a Direct Debit, so you invoice each one as usual.
Which certificates can we issue?
That depends on what your business is registered for. A Gas Safe number opens the gas safety records, service records and legionella risk assessments. The qualified electrician setting opens the EICR, minor works, emergency lighting, fire alarm and PAT certificates. EICs need a competent person scheme number. PAT testing, water hygiene, HETAS and MCS each have a setting of their own that opens their records. Hold none of these and OnPoint calls what you issue forms, and you can build your own from a photo of any paper sheet. For the rest, send the work to a partner who holds the registration.
Does it work without signal?
Yes, for the work on site. Jobs, contacts, sites, certificates, signatures, photos and clock-ins save on your phone and sync when you're back in signal, so a basement plant room is no problem. Quotes and invoices need a connection.
Does it work with Xero?
Yes. OnPoint sends your contacts, invoices and payments to Xero, and payments you record in Xero come back to OnPoint.
How much does it cost?
£19 a month for one person, plus £9 a month for each extra person. Or pay yearly: £190 a year for you and £90 for each extra person, which is 2 months free. Every feature is on that one plan, with no add-ons for subcontractors or portals. You get 14 days free with no card needed, and you can cancel any time.
I use Joblogic, BigChange, Commusoft or Fergus. How does OnPoint compare?
We've put OnPoint side by side with each of them, feature by feature.

You itemise every repair. Here's ours.
£19 a month for you, and £9 a month for each person you add. No tiers and no add-ons, so a one-van handyman and a team of twenty get the same app.
