Linked to the certificate it renews.
Tell a plan which certificate its visits renew. Each booked visit then shows on Renewals as booked, and that certificate's reminder doesn't go out asking the customer to book something already in the diary.

Told it's booked, by email, from the start.
When a plan books a visit, the customer gets the usual appointment confirmation. It's on by email for every new plan. Add a text, or switch it off for a customer who'd rather you rang.

Straight answers
What a plan won't do.
It doesn't bill anyone
Price a visit and the contract value a year are there for your reference. Plans don't send invoices or collect Direct Debits.
A clash waits for you
If the plan's engineer is on leave that day, or already booked at that time, the visit isn't booked. It waits on Due to book for you to arrange by hand. A plan with no engineer set has nobody to check.
Repeats are for single-day visits
A job that runs over several days is booked on its own.
Setting one up needs a connection
Plans are kept on the server so everyone sees the same schedule. The visits they book work offline like any other job.

What is a service plan in OnPoint?
A service plan is a repeating visit for one customer, like an annual boiler service, a landlord's gas safety check or a maintenance contract. You set how often, the time, the engineer and how far ahead, and OnPoint either books each visit into the diary or lists it on Due to book for you to arrange.
How far ahead are visits booked?
4 weeks before each one is due, unless you change it. You can choose anything from 1 week to 3 months. Plans set to book automatically do it when the plan is saved and every morning after that.
What's the difference between the two ways of getting visits in the diary?
Book them automatically puts each visit in the calendar at the plan's time with the plan's engineers, and tells the engineer. Remind me to book puts each visit on Due to book instead, so you can agree a day with the customer and press Book.
Does an automatic booking check the diary for clashes?
Yes. Before it books a visit, the plan checks whether its engineer is on approved leave that day or already booked at that time. If so, the visit isn't booked: it waits on Due to book, saying why, for you to arrange by hand. A plan with no engineer set has nobody to check. If you'd rather agree every date yourself, choose Remind me to book.
Is the customer told when a visit is booked?
Yes, by email, for every new plan. They get the usual appointment confirmation. You can change it to a text, email and text, or not telling them. Texts wait until 8am.
Can I book the next service from a finished job?
Yes. A completed visit shows Book the next service. Pick in 12 months, in 6 months or another day and the new appointment opens with the same customer, property, title, length and engineer. Or choose Put it on a plan instead, and every visit after it books itself too.
Can a plan renew a certificate?
Yes. Set Renews to the certificate type the visits renew. Each visit is linked to the certificate of that type due around it, so Renewals shows it booked and the renewal reminder doesn't go.
Does a service plan bill the customer or take Direct Debit?
No. You can note a price for each visit and see the contract value a year, but plans don't send invoices or collect money. Invoice the contract as you normally would, with instalments if you want to spread it.
Can I skip a visit or pause a plan?
Yes. Skip a single visit and it won't be booked or listed again. Pause a plan and nothing new is booked until you resume it. You can also end it on a date.
What happens if I change a plan's time or engineer?
Visits that aren't booked yet follow the change. For visits already in the calendar, you can tick Also change the visits already booked, and choose to tell those customers the new time.
Who can see and change service plans?
Owners and managers to start with. Seeing plans and changing them are separate permissions, so you can give either to anyone else. The price is only shown to people who can see sales amounts.
