One roof, from the survey to the review.
Margaret Hughes has damp in the front bedroom of her Victorian semi in Sheffield. Here's that job in OnPoint, from the ladder going up to the review coming in.
Tue 6 Oct/Survey
Survey it once, and show her the roof
Take photos as you go, each one with the time it was taken, and circle the slipped slates with Mark up. Talk through what you find and OnPoint writes it up as a visit report, with the materials picked out. Share the report and Margaret sees her own roof from her link. Got a paper survey sheet you've always used? Take a photo of it and it becomes a form on your phone.
Front gutter blocked with moss and overflowing above the door. Three slates slipped over the bedroom window, nails rusted through. Left hip loose at the bottom. Two ridge tiles cracked, bedding washed out. Chimney apron lifted and split, which is where the water gets into the front bedroom.
Tap Quote recommended work on the survey report. The parts it recommends become quote lines, priced from your saved products where one matches, and the survey photos you pick go on the quote too. Check the lines, add VAT and set a deposit. Send it by email or text and you'll see when Margaret opens it. She can ask a question on the quote, accept it and pay the deposit, all from the one link.

Yes. Reclaimed Welsh slate, the same size as yours.

Deposit in, then book the days
When Margaret pays the deposit online, the quote is accepted and turned into an invoice with her payment already on it. Book the repairs as one appointment over two days, with Kyle and Liam both on it. If either of them is already booked, you're told before you save. Margaret gets a text with both days and both names, and if you switch on day-before reminders, another the day before.

Send the scaffold out, with CIS taken off
Send the scaffold job to Rivelin Scaffolding as an offer. They don't need OnPoint: they accept it from a link, and their report and photos come back the same way. Margaret sees their visit on her link too, as Rivelin Scaffolding for Loxley Roofing, with the day and none of the prices. When you pay them, split the labour from the plant hire. OnPoint takes CIS off the labour only, shows exactly what to pay, and puts it on the month's CIS return figures with a statement for Rivelin. You file the return with HMRC.
Doesn't include your own team's time or materials you supplied.

The whole job, and what it cost
Keep the survey, the quote, both days, the invoice and what you spent on one project. Its stage comes from the quotes, visits and invoices on it, so there's no card to move. Send the scaffold from the project and its cost is on it once Rivelin accept. Add the lead and the slate, and see what was quoted, invoiced, collected and spent, and your margin, ex VAT.
Your own team's time isn't in these figures unless you add it as a cost.

Once Margaret has paid, tap Ask Margaret for a review. She gets a thank-you email with a button to your Google page, plus Checkatrade or wherever else you're listed. If anything wasn't right, her reply comes to you, not to a one-star review.

“Engineers used to come back at 5pm with stacks of paper job sheets. Now everything's signed on the phone before they leave the customer. Invoices go out the same day. The cash flow shift was instant.”
“We were running the business off WhatsApp threads and a notebook. OnPoint pulled everything into one place. The customer portal alone has cut my admin in half. I'm not retyping addresses or chasing photos anymore.”

Same roof. The right VAT for who's paying.
When you work for a main contractor, your invoices to them charge no VAT under the domestic reverse charge, and CIS comes off the labour. Homeowners get VAT as normal. Mark the contractor once and their invoices start that way.

OnPoint is job management software for UK roofing contractors. It covers survey photos and visit reports, quotes with deposits and options, stage payments and payment plans, the diary, subcontractors with CIS deductions and your monthly CIS return figures, reverse charge VAT and CIS on your invoices, card payments and review requests, in one app for iPhone, Android and the web.
Does OnPoint handle CIS?
Yes, both ways. When a main contractor pays you, switch on CIS deductions in your settings and your invoice takes the deduction off the labour lines only, shows the amount payable and prints the CIS notice. When you pay a subcontractor, split their price into labour and materials or plant, pick their rate, and OnPoint shows the CIS to withhold and what to pay them. Each tax month, the CIS returns page lists what you paid each subcontractor, ready to enter on HMRC's return, and makes their payment and deduction statements. It doesn't verify subcontractors with HMRC or file the return, so you still do those yourself.
Can it do reverse charge VAT invoices for main contractors?
Yes, if you're VAT registered. Switch on VAT reverse charge in your settings and mark the main contractor as a VAT-registered contractor. Their invoices and quotes then charge no VAT, show the VAT they account for as a memo, and print the reverse charge wording. Homeowners still get VAT as normal. Whether the reverse charge applies to a job is your call, or your accountant's.
Can I take a deposit before I book the scaffold?
Yes. Set a deposit on the quote, as an amount or a percentage. With Stripe connected, the customer pays it online by card or Pay by Bank. That accepts the quote and turns it into an invoice with the deposit already on it. For a re-roof, schedule the balance by stage, like strip and felt, then tiled and pointed, and mark each one done to ask for it. Or split it into weekly or monthly instalments, from 2 to 60.
Can I give the customer a choice, like repairs or a new roof?
Yes. Switch on Offer options on the quote and price two to four versions of the job, Good, Better and Best by default or named your own way, with one marked Recommended. Add optional extras they can tick, like new guttering. The customer picks one from their link and the total, and any deposit, changes as they choose. Only the option they accept goes on the invoice.
Can I send work to subcontractors who don't use OnPoint?
Yes. Send the job as an offer by email. They accept it from a link, send their report and photos back the same way, and see what they'll be paid after CIS. Your customer sees their visit on their own link, by name and day, never the price. If they use OnPoint too, connect with them and offers go straight to their app.
Can I show customers photos of their roof?
Yes. Photos taken on a visit keep the time they were taken. Mark one up with an arrow, a circle or some text, and tag photos Before and After. Talk through what you found and OnPoint writes it up as a visit report, with the materials picked out. Share the report and the customer sees the photos from a link, with no app or login: the marked-up copies, grouped into Before and After. Then tap Quote recommended work and the report becomes a quote, with its photos on it.
Does it handle jobs that run over several days?
Yes. Book one appointment across several days with everyone who's on it, and you're warned if someone is already booked. Weekends are left out unless you tick Work through the weekend. For bigger jobs, keep the visits, quotes, invoices and costs on a project, with your margin worked out ex VAT. Its stage follows the quotes, visits and invoices on it, so there's no card to move.
Does it work with no signal?
Yes, for the work on site. Jobs, photos, notes, your own forms and clock-ins save on your phone and send when you're back in signal. Quotes and invoices need a connection.
Does it work with Xero?
Yes. OnPoint sends your contacts, invoices and payments to Xero, and payments you record in Xero come back to OnPoint.
How much does it cost?
£19 a month for one person, plus £9 a month for each extra person. Or pay yearly: £190 a year for you and £90 for each extra person, which is 2 months free. Every feature is on that one plan. You get 14 days free with no card needed, and you can cancel any time.
I use Tradify, Fergus, ServiceM8 or Powered Now. How does OnPoint compare?
We've put OnPoint side by side with each of them, feature by feature.
